We are currently searching for an Operations Coordinator. This is a key support position with four key focus areas: membership/development & database management, communications & technology support, office management, and program support. The role assists others, but also has direct responsibility for many activities.

Essential Job Duties (job duties that are necessary to the position):

Membership/Development & Database Management:

  • Assists with cultivation, stewardship, and solicitation of individual and corporate membership in coordination with the Development Officer
  • Writes development correspondence for a wide range of donors, including renewal messages and gift acknowledgements
  • Responds to general questions regarding the organization and membership
  • Researches and implements ongoing database optimization measures
  • Records gift entry, donor data, event registration, and donor moves in the database
  • Handles confidential information and maintains donor data integrity

Program and Leadership Support:

  • Executive Director/Board & Committee Support
    • Manages Executive Director’s schedule including reaching out to potential donors, program contacts, and others for Executive Director meetings
    • Maintains committee rosters and contact information
    • Attends Board, Development, and Executive committee meetings and drafts formal meeting minutes for Executive Director or Development Officer approval
    • Acts as board and standing committee liaison for organization/board information, schedules, etc.
  • Event Support
    • Staffs Citizens League events
    • Assists with admission, ticket sales and sponsorships
    • Collects attendee information and manages sponsored table seating
    • Handles day of cash and credit card transactions
  • Capitol Pathways Support
    • Assists Program Manager in cohort application review and finalist selection
    • Sends emails to Capitol Pathways students and hosts on behalf of Program Manager
    • Assists with monthly cohort meetings (ordering catering, doing research, and attending meetings as asked)
  • Policy Director Support
    • Completes policy research and projects on an as-needed basis

Communications & Technology Support

  • Contributes to Social Media efforts for select initiatives in coordination with the Communications Specialist
  • Supports employees with IT needs and troubleshoots issues

Office Management

  • Accounting
    • Responsible for receiving and coding invoices in coordination with accountant
    • Collects incoming contributions, grants, and funds
    • Processes and reconciles event registrations, donations, merchant accounts, etc.
    • Collaborates with accounting team and Executive Director to improve accounting processes
  • General Office
    • Maintains inventory and orders staff office supplies
    • On-boards new employees
    • Creates and updates procedure documentation for general office tasks
    • Sends, receives, and sorts both incoming and outgoing mail

Requirements:

  • Education
    • 4-year degree or equivalent experience
  • Experience Level (experience required to perform job functions at a fully competent level):
    • 1-2 years working in a role that requires comfort and understanding of technology as well as high-level administrative work
  • Essential knowledge, skills, and abilities (the specific competencies for the position):
    • Ability to prioritize, multi-task, and adhere to deadlines while working efficiently and independently with minimal supervision
    • Strong problem solving and organizational skills
    • Demonstrable ability to cultivate productive relationships among colleagues as well as external constituents
    • Strong communication skills, both written and verbal
    • Proficiency with a wide range of software including CRM systems, Microsoft Office, and mail merges. Raiser’s Edge or NXT experience preferred
  • Amount of supervision required:
    • Manager may review tasks.  The person knows how to prioritize and set project schedules.  Work guidance is aimed at coaching and advising with minimal hands-on instruction
